BELROK Earthmoving Parts (“BELROK”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through belrok.co.za, why we collect it, how we look after it, and the rights you have under South Africa’s Protection of Personal Information Act, 2013 (POPIA).

2. What we collect

When you register your fleet or contact us, we collect the information you choose to give us:

• Contact details: your name, company name, mobile or WhatsApp number, email address and preferred way to be contacted.
• Location: your town or area and province.
• Fleet and supply details: the number, make, model and serial numbers of your machines, filter types and part numbers, your current supplier, when you will need filters, and any notes you add.
• Marketing preference: whether you agreed to receive stock updates and offers.

We also collect limited technical information automatically, such as your IP address and browser type, to keep the website secure and to block spam submissions.

3. Why we use it

• To respond to your registration and contact you about the filters and parts your fleet needs.
• To prepare quotes and arrange supply and delivery.
• To keep a record of our customers and their machines so we can serve you better over time.
• To send you stock updates and offers, only if you ticked the consent box.
• To protect our website from spam and abuse.

We process your information because you have asked us to (to take steps towards supplying you), because you have given consent (for marketing), or because it is in our legitimate interest to run and protect our business. We only collect what we need for these purposes.

4. Marketing

If you agree, we may contact you by WhatsApp, SMS or email with stock updates and offers. You can opt out at any time by replying “STOP”, using the unsubscribe link in our emails, or contacting us at info@belrok.co.za. Opting out will not affect messages about an order or quote you have asked for.

5. Who we share it with

We do not sell or rent your personal information. We share it only with service providers who help us run our business and who must keep it confidential and secure:

• our website hosting provider;
• Google (Google Workspace / Google Sheets), which we use to store and manage registrations;
• our email and messaging providers, used to reply to you;
• Cloudflare, which checks form submissions for spam;
• delivery and courier partners, when we deliver an order to you.

We may also disclose information where the law requires us to.

6. Information stored outside South Africa

Some of our service providers, such as Google and Cloudflare, may store or process information on servers outside South Africa. We only use providers that are subject to data protection laws or agreements that give a level of protection similar to POPIA.

7. How long we keep it

We keep your information for as long as you are a customer or prospective customer, and for as long afterwards as we need it for legal, tax or accounting purposes. If you have not dealt with us for three years, we will delete or anonymise your registration unless the law requires us to keep it.

8. How we protect it

We take reasonable technical and organisational steps to protect your information against loss, misuse and unauthorised access. These include an encrypted (HTTPS) website, password-protected accounts and limiting access to staff who need it. If we become aware of a security breach that affects your information, we will notify you and the Information Regulator as POPIA requires.

9. Your rights

Under POPIA you have the right to:

• ask whether we hold information about you and request a copy of it;
• ask us to correct or update information that is wrong or out of date;
• ask us to delete information we no longer have a reason to keep;
• object to us using your information, including for direct marketing;
• withdraw your consent at any time;
• lodge a complaint with the Information Regulator.

If you are not happy with how we have handled your information, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.

10. Cookies

Our website uses only the cookies it needs to work properly and to protect forms from spam. We do not use advertising cookies. You can block or delete cookies in your browser settings, but some parts of the site may not work as intended.
